Primary Purpose:
Ensure efficient operation of the Child Nutrition administrative office and provide clerical services for campus and administrative staff.
Qualifications:
Education/Certification:
High School Diploma or GED
Special Knowledge/Skills:
Demonstrates high level of organizational skills
Proficient in typing, and file management
Demonstrates effective communication, and interpersonal skills – written and oral
Highly motivated and a team player
Knowledge of basic accounting principles
Knowledge of Child Nutrition regulations and guidelines, a plus, but not required
Ability to use existing software systems to develop spreadsheets and databases
Bilingual, a plus, but not required
Experience
One to three years operational or secretarial experience, preferably in public education environment.
Major Responsibilities and Duties:
General
- Works with strict confidentiality
- Exercises a high degree of professional appearance
- Assists employees, parents, faculty, staff, and supervisors daily
- Receives all incoming calls for the dept, takes precise messages, and routes them properly
- Projects a positive attitude that is conducive with a service-oriented profession
- Makes routine decisions in accordance with established priorities and policies
- Assists in managing department reporting with regards to Local, State, and Federal regulations
- Works closely with PEIMS personnel to update student information as it pertains to the dept
- Prepares instructional materials, meeting agendas and Child Nutrition communications as requested
- Processes and maintains all Free and Reduced meal applications in regards to determining eligibility, verifying information and gathering additional data
Financial
- Maintains and tracks parent refunds requests
- Assists with compiling data needed for annual budgets and helps maintain fiscal accounting
- Processes and maintains all documentation for accounts payable and purchasing departments
- Acquires quotes for purchases over a certain threshold as required by district policy
- Cash counting and bank deposits
- Verifies all bank deposits with Daily Sales Reports
- Uploads all cash receipts to our accounting system for each campus on a weekly basis
- Communicates regularly with bank personnel, suppliers, and district office personnel to obtain or supply information
Operational
- Maintains District Equipment list for all Child Nutrition areas
- Initiates and tacks work order requests for Café Managers and department
- Maintains personnel records for department, as needed
- Maintains HR spreadsheet to track background checks and badge issuance for new hires
- Maintains records for annual required training and certifications for Child Nutrition Staff
- Develops new programs and procedures within own area of responsibility, as needed
- Provides input on new programs and procedures developed by supervisors
- Assists with conducting on-site periodic audits of meals and sales
