Primary Purpose:


Ensure efficient operation of school administrative office and provide clerical services for school’s administrative staff.






High school diploma or GED


Special Knowledge/Skills:

Proficient typing, word processing, and file maintenance skills

Effective organizational, communication, and interpersonal skills

Ability to use personal computer and software



One year of clerical experience, preferably in public education environment



Major Responsibilities and Duties:


Records, Reports, and Correspondence


  1. Pupil Accounting: Post daily absentees. Prepare weekly attendance, summary reports at the end of each six weeks and semester.  Maintains student files in on-line terminal.
  2. Prepare required PEIMS data:
    • collect information from teachers and administrators on students in special programs
    • inputs data on students and teachers
    • adds to system new teachers and/or aides
    • reviews spreadsheet for corrections before final submission
  3. Prepare student enrollment and student withdrawal forms and corresponds with other districts concerning records for new or withdrawn students when needed.
  4. Act as custodian of all bilingual related materials, reports and record keeping.
  5. Maintain student log on absenteeism and prepare necessary correspondence.
  6. Acts as custodian of student permanent records.
  7. Acts as correspondent for student insurance claims.





Reception and Phones


  1. Assist students, teachers, and parents as needed.
  2. Receive incoming calls, take reliable messages, and route to appropriate staff.




  1. Assign and type new student bus passes and any lost bus passes.
  2. Administer medication to students, check temperatures, and notify parents of student illness in nurse’ s absence.
  3. Assist in fire drills.
  4. Maintain confidentiality.



Supervisory Responsibilities:





Equipment Used:


Personal computer, typewriter, printer, copier, fax machine, and calculator.

Maintain emotional control under stress; work with frequent interruptions. Repetitive hand motions; prolonged use of computer.
