Description

Primary Purpose:

 

Ensure efficient operation of the Child Nutrition administrative office and provide clerical services for campus and administrative staff.

 

Qualifications:

                       

Education/Certification:

High School Diploma or GED    

 

Special Knowledge/Skills:

Demonstrates high level of organizational skills

Proficient in typing, and file management

Demonstrates effective communication, and interpersonal skills – written and oral

Highly motivated and a team player

Knowledge of basic accounting principles

Knowledge of Child Nutrition regulations and guidelines, a plus, but not required

Ability to use existing software systems to develop spreadsheets and databases

Bilingual, a plus, but not required

 

Experience

One to three years operational or secretarial experience, preferably in public education environment.

 

Major Responsibilities and Duties:

 

General

  1. Works with strict confidentiality
  2. Exercises a high degree of professional appearance
  3. Assists employees, parents, faculty, staff, and supervisors daily
  4. Receives all incoming calls for the dept, takes precise messages, and routes them properly
  5. Projects a positive attitude that is conducive with a service-oriented profession
  6. Makes routine decisions in accordance with established priorities and policies
  7. Assists in managing department reporting with regards to Local, State, and Federal regulations
  8. Works closely with PEIMS personnel to update student information as it pertains to the dept
  9. Prepares instructional materials, meeting agendas and Child Nutrition communications as requested
  10. Processes and maintains all Free and Reduced meal applications in regards to determining eligibility, verifying information and gathering additional data

Financial

  1. Maintains and tracks parent refunds requests
  2. Assists with compiling data needed for annual budgets and helps maintain fiscal accounting
  3. Processes and maintains all documentation for accounts payable and purchasing departments
  4. Acquires quotes for purchases over a certain threshold as required by district policy
  5. Cash counting and bank deposits
  6. Verifies all bank deposits with Daily Sales Reports
  7. Uploads all cash receipts to our accounting system for each campus on a weekly basis
  8. Communicates regularly with bank personnel, suppliers, and district office personnel to obtain or supply information

           

Operational

  1. Maintains District Equipment list for all Child Nutrition areas
  2. Initiates and tacks work order requests for Café Managers and department
  3. Maintains personnel records for department, as needed
  4. Maintains HR spreadsheet to track background checks and badge issuance for new hires
  5. Maintains records for annual required training and certifications for Child Nutrition Staff
  6. Develops new programs and procedures within own area of responsibility, as needed
  7. Provides input on new programs and procedures developed by supervisors
  8. Assists with conducting on-site periodic audits of meals and sales

           

 

Supervisory Responsibilities:

 

None

Personal computer, laptop, printer, copier, fax machine, and calculator

Maintain emotional control under stress; work with frequent interruptions.  Repetitive hand motions; prolonged use of computer.
